The Coordinator of Finance maintains the various Woods Memorial Presbyterian Church funds and accounts in accordance with Generally Accepted Accounting Principles and the Woods Memorial Presbyterian Church Financial Policies and Procedures Manual.
Duties and Responsibilities Financial Weekly Tasks:
Prepare payable vouchers, check request invoices and receipt of goods for Church and Child Development Center (CDC) Prepare Church and CDC Accounts Payable checks for signature of Treasurer and/or Assistant Treasurer Distribute incoming mail to designated mailboxes located in office Balance collections total with the volunteer counters and PNC deposit total and file posting report Enter contribution receipts into CRM software and Financial software Payroll Tasks (biweekly):
In Coordination with the Director of Operations, perform all the tasks necessary to support payroll for the staff of Woods Church and CDC Collect weekly time sheets from overtime-eligible staff by noon on Tuesday (or the second day of the workweek) - Compute hours for hourly employees and review (CDC) hours and wages - Input payroll for Church and CDC - Prepare wire transfer of payroll taxes to Federal and State agencies - Prepare wire transfer to Fidelity for pension 403B employee payroll contributions - Supply time cards to part-time employees - Prepare bill for CDC to reimburse payroll to Church Monthly Tasks:
Post CDC Monthly tuition invoices and payments Prepare bill for CDC to reimburse Health Insurance, Food, Workers Comp and 403 B Make closing monthly entries Prepare financial statements of Church and CDC Operating Funds, Restricted Funds and Endowment Fund for Finance Ministry and Session meetings Prepare and send payroll worksheet to Human Resources Transmit giving number file to contribution envelope company Balance petty cash account and maintain balances at designated levels Quarterly Tasks:
Prepare wire transfer to Fidelity for participating employees' Church contributions to pension fund, 403 b fund Process and submit 941 payroll tax report Process check requests for Missions Ministry clients Calendar Year End Tasks:
Send out W-2s (January) Compute, prepare and send 1099 INTs for promissory note and 1099 MISC for AP (January) Process contributors annual giving statements Prepare yearly personal property tax return Prepare Workman's Compensation Insurance audit report (February) Fiscal Year End Tasks:
Close financial accounts for year Send final June statements and prepare financial files for new year Enter new FY budget pledges during stewardship campaign Input new budgets for Church & CDC Provide information requested by external audit firm Maintain current W-4s on each employee; update annually Maintain seven years of financial records.
Annually, discard records more than seven years old Other ongoing tasks:
File Accounts Payable and Contribution Deposits Keep record of pledges during yearly stewardship campaign Other tasks and activities as assigned by Director of Operations Stewardship Create reports and provide financial information to the Coordinator of Communications to support the Annual Stewardship Campaign Supervisory Responsibilities Oversee volunteer contributions counters General Office Administrative Support Attend weekly general staff meetings and other meetings of office personnel, as needed Perform other administrative duties as requested by the Director of Operations Knowledge, Skills and Abilities Computer Skills General computer applications, including proficiency in the use of Microsoft Excel, Microsoft Word and Microsoft Power Point Willing to learn certain computer modules including CRM Software (REALM) and QuickBooks Online.
Other Required Skills and Abilities Demonstrated proficiency in basic accounting and bookkeeping skills Demonstrated interpersonal skills, including excellent telephone skills Proficiency in routine business correspondence Reliable management of confidential material General Terms of Employment and Benefits General terms of employment and benefits are set forth in the current version of the Church's Employee Handbook Compensation is established annually by the Session through the Human Resources Ministry Work Time:
This is an hourly, 30-hour per week part-time non-exempt position.
Specific days and hours of work are determined in consultation with the Director of Operations.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
